Who We Are and How This Policy Applies
Ching Ching Cellar is a wine and bubbly club based in Franschhoek village, serving members and event clients across South Africa. This policy applies to personal information collected when you subscribe to monthly boxes, request a tasting, attend an event, or otherwise interact with our team in Franschhoek, Stellenbosch, Cape Town, Johannesburg, Durban, Paarl, Somerset West and Constantia.
The operator responsible for the processing of personal information is Astros Marketing (Pty) Ltd, acting for Ching Ching Cellar. By using our services, submitting an enquiry, or joining the club, you acknowledge that your information may be handled as described in this policy and in line with applicable South African law.
Information We Collect and Why We Collect It
We collect only the information needed to manage memberships, deliveries, bookings, payments, and event administration. This may include your name, contact details, delivery address, billing details, preferences, dietary notes, tasting interests, and communication history. In some cases we may also collect company details for corporate tasting events or team building bookings.
- To process monthly subscription orders and confirm delivery details
- To arrange tasting evenings, workshops, and private bookings
- To respond to enquiries and manage customer support requests
- To keep records for accounting, compliance, and service history
- To send club updates, booking confirmations, and service notices
We do not collect more than we reasonably need, and where possible we will ask you to only provide information that is necessary for the service you want.
How Your Information Is Used and Shared
Your information is used internally by staff members who need it to perform their roles, including membership administration, wine selection, logistics, event coordination, and customer care. This may include the team led by our Managing Director, Lwazi Mthembu, and the relevant staff supporting your request.
We may share limited information with trusted third parties who help us deliver our services, such as courier providers, payment processors, venue partners, or technical service providers. These third parties are only given the information needed to do their work and are expected to protect it. We do not sell personal information, and we do not share it for unrelated marketing by others.
- Delivery and logistics partners for box dispatch and address confirmation
- Payment and accounting service providers for billing and reconciliation
- Venue and event support providers where a booking requires it
- Professional advisers, regulators, or authorities where the law requires disclosure
If you book a tasting for a group, we may need to process guest names or dietary notes supplied by the organiser. Please make sure any personal information you provide about another person is shared with their knowledge and consent.
Storage, Security, and Retention
We take reasonable technical and organisational steps to protect personal information from unauthorised access, loss, misuse, or alteration. This includes controlled access to records, password protection where appropriate, and secure handling of documents and customer details. Because we operate in South Africa and serve members nationwide, some records may be stored electronically and accessed from more than one location, but only by authorised personnel.
We keep personal information only for as long as needed for the purpose it was collected for, or as required by law, tax rules, or contractual obligations. Once information is no longer needed, we will take reasonable steps to delete, destroy, or de-identify it in a safe manner. Where practical, we review records regularly to avoid keeping outdated information for longer than necessary.
Your Rights Under POPIA
You have rights in relation to your personal information, subject to the conditions set out in law. You may request access to the information we hold about you, ask us to correct inaccurate information, request deletion where lawful grounds exist, or object to certain processing in specific circumstances.
- To ask what information we hold about you
- To request correction of outdated or incorrect details
- To object to direct marketing where applicable
- To withdraw consent where processing is based on consent
- To lodge a complaint if you believe your rights have been affected
To help us deal with a request properly, we may need to verify your identity before taking action. In some cases, legal or contractual obligations may require us to retain certain records even if you request deletion.
Cookies, Marketing, and Policy Updates
Our contact and club communications may use cookies or similar tools to improve site functionality, measure general usage, and support booking or subscription processes. These tools do not collect more information than needed for the service, and you can manage browser settings if you prefer to limit cookies.
Where you have given permission, or where the law allows it, we may send club news, tasting dates, or seasonal updates related to Ching Ching Cellar. You may opt out of non-essential marketing at any time, though we may still send service notices about active bookings, deliveries, or account matters. We may update this policy from time to time to reflect legal changes or operational changes, so please review it occasionally.
If you have any concern about how we handle your personal information, please contact us through the enquiry form on our contact page and we will deal with the matter as soon as reasonably possible. We aim to handle all requests fairly and in line with POPIA, though please allow a practical turnaround time especially during busy tasting periods and month-end delivery cycles.
